The primary functions of your role, in line with the Responsibilities are outlined below:
- Responsible for offering office administration support to the highest quality standards within Alfred H Knight South Africa Rustenburg Laboratory. The role is also responsible for receiving and generation of invoices for COD clients and customer maintenance on LabCreate and assisting in sample registration and act as a reliever in the absence of the Sample Administrator

Responsibilities

- Ensuring that all PPE records are updated and annual PPE is ordered timeously including PPE for new employees.
- Receiving, sorting and distributing daily mail/deliveries including booking courier for outgoing parcels
- Receiving visitors at the front desk by greeting, welcoming, directing and assisting them appropriately.
- Answering, screening and forwarding incoming phone calls accordingly.
- Providing standard and accurate information in-person and via phone/email in a courteous, professional manner.
- Maintaining office security by following safety procedures and controlling access via the reception desk (monitor logbook /visitors’ book)
- Ordering front office supplies, including all printer’s hardware and utilities and keeping inventory of stock whilst ensuring no stock-outs
- Keeping updated records of office expenses including fuel reconciliation, staff teas on a consistent basis
- Updating the General, HSE and HR sections of the noticeboard
- Liaising with Cleaning staff and ensuring that cleaning material is always available within all Laboratory Sections
- Updating medical surveillance report and ensuring that subsequent bookings are made timeously for both annual, entry and exit medicals
- Assisting in sample registration in Labcreate
- Acting as a reliever in the absence of the Sample Administrator and work hand in hand with production teams with regards to sample registration
Health & Safety
- Ensuring the Company’s Health & Safety policy is applied effectively in areas the Post Holder’s may visit.
- Reporting any incidents during working hours within 12 hours of the incident and carry out incident/accident investigations
- Observing and complying with operational requirements and safety regulations applicable to your work area. Non-compliance will be considered to be serious misconduct, and the Employer is hereby indemnified by the Employee towards any liability resulting from an injury or illness as a result of non-compliance with safety measures.
Human Resource Management
- Upholding company code of conduct by ensuring consistent application of the company disciplinary rules.
- Maintaining a professional standard and appearance during office hours and while promoting the company when on company business both internally and externally
Teamwork
- Work as a team towards team goals with all Production and Technical Teams, understanding priorities and pressures.
- Support collaborative working with team and stakeholders.
Ad-hoc Projects / Other
- Carrying out other ad hoc duties of an appropriate nature as may be requested by the Shift Chemist or Senior Chemist - Production or Laboratory Manager from time to time Perform any other reasonable tasks as assigned by the direct Branch/Lab manager

- Good knowledge and understanding of office administration.
- High computer Literacy (Proficiency in Microsoft Office Suite).

- Hands-on experience with office equipment (e.g. printers)

Required Work Experience
- Minimum 3 years’ experience in a production environment with proven track record of office administration
Required Qualifications
- Grade 12 (with Maths, English and Science)
- Appropriate Tertiary Qualification in Office Administration
Required Languages
- Highly proficient in English (Verbal and written)
